Waivers & Contracts

Collect digital signatures on waivers and contracts. Stay compliant with automated tracking and reminders.

Creating Waivers

Set up liability waivers and consent forms:

  1. Go to Settings in the sidebar
  2. Click Waivers & Contracts
  3. Click Create Waiver
  4. Configure the waiver:
    • Waiver name (e.g., "Liability Release", "Photo Consent")
    • Document content (copy/paste or write your terms)
    • Required for (New clients, All clients, Specific services)
    • Expiration period (Annual, One-time, etc.)
    • Minimum age to sign (or require parent/guardian)
  5. Click Save Waiver

Collecting Digital Signatures

Clients can sign waivers electronically:

  • Email Link - Send waiver via email with unique signing link
  • Client Portal - Clients sign when logging into their account
  • At Registration - Required during class or camp signup
  • In-Person Tablet - Clients sign on your device at check-in

Each signature includes timestamp, IP address, and signer information for legal validity.

Waiver Templates

Use pre-built templates to get started quickly:

  • General Liability - Standard liability release for fitness activities
  • Minor Consent - Parent/guardian permission for minors
  • Photo Release - Permission to use photos/videos in marketing
  • Medical Authorization - Emergency medical treatment consent
  • Code of Conduct - Behavioral expectations agreement

All templates are customizable. We recommend having them reviewed by legal counsel for your jurisdiction.

Contract Management

Manage membership agreements and service contracts:

  1. Create a contract template with terms and conditions
  2. Set the contract duration and renewal terms
  3. Attach to specific packages or memberships
  4. Clients review and sign before enrollment
  5. Track active contracts from the client profile

Contracts can include auto-renewal clauses, cancellation policies, and payment terms.

Compliance Tracking

Stay on top of waiver requirements and expirations:

  • Compliance Dashboard - See which clients need waivers signed
  • Automatic Reminders - Email clients when waivers are expiring
  • Enrollment Blocks - Prevent bookings until waivers are signed
  • Renewal Alerts - Get notified when annual waivers need updating
  • Audit Trail - Complete history of all signatures and updates

View compliance status from Clients → Waivers or from individual client profiles.
