Setting Up Stripe

Connect your Stripe account to start accepting online payments from clients.

Prerequisites

  • A Stripe account (create one at stripe.com if you don't have one)
  • Admin access to your Facility Pro account
  • Business details ready (bank account info, tax ID, etc.)
  • 5-10 minutes to complete the setup

Create a Stripe Account

If you don't already have a Stripe account, you'll need to create one first.

  1. Go to stripe.com
  2. Click Sign Up
  3. Enter your email and create a password
  4. Verify your email address
  5. Complete your business profile
Already Have Stripe? You can skip this step and use your existing account. Each organization in Facility Pro gets its own separate Stripe connection.

Navigate to Settings

In your Facility Pro dashboard, go to the Settings section to connect Stripe.

  1. Click Settings in the sidebar
  2. Navigate to the Payments or Integrations tab
  3. Look for the Stripe section
Note: Only organization admins can connect payment providers.

Connect Your Stripe Account

Click the button to connect Stripe. You'll be redirected to Stripe to authorize the connection.

  1. Click Connect Stripe
  2. You'll be redirected to Stripe's secure authorization page
  3. Log in to your Stripe account (or create one if needed)
  4. Review the permissions Facility Pro is requesting
  5. Click Connect to authorize
  6. You'll be redirected back to Facility Pro
Security: Facility Pro uses Stripe Connect, which means you maintain full control of your Stripe account. We never have access to your funds or sensitive information.

Configure Payment Methods

Choose which payment methods you want to accept from clients.

Available Payment Methods:

  • Credit/Debit Cards: Visa, Mastercard, American Express (enabled by default)
  • ACH Direct Debit: Bank transfers (US only)
  • Apple Pay/Google Pay: Mobile wallet payments
  • Other Methods: Varies by country (e.g., SEPA, iDEAL, etc.)
Recommendation: Enable all payment methods supported in your region to give clients maximum flexibility.

Test Mode vs Live Mode

Stripe has two modes: Test (for trying things out) and Live (for real payments).

Test Mode:

  • Use test card numbers to simulate payments
  • No real money is charged
  • Perfect for training staff or testing workflows
  • Test card: 4242 4242 4242 4242

Live Mode:

  • Real payments are processed
  • Funds are deposited to your bank account
  • Requires completed Stripe business verification
Switching Modes: Toggle between Test and Live mode in your Stripe dashboard settings. Facility Pro will automatically use the correct mode based on your Stripe connection.

Verify the Connection

Confirm that Stripe is connected successfully.

  • You should see a green "Connected" status in Settings
  • Your Stripe account email or business name will be displayed
  • The "Pay Now" button will appear on invoices
Success: You're all set! Clients can now pay invoices online with their credit card or other enabled payment methods.

Test a Payment (Optional)

Create a test invoice and process a test payment to ensure everything works.

  1. Switch Stripe to Test Mode in your Stripe dashboard
  2. Create a test invoice in Facility Pro
  3. Send it to yourself or a test client
  4. Click the payment link in the email
  5. Use the test card number: 4242 4242 4242 4242
  6. Use any future expiry date and any 3-digit CVC
  7. Complete the payment
  8. Verify the invoice is marked as paid in Facility Pro
Remember: Switch back to Live Mode when you're ready to accept real payments!

Common Questions

What fees does Stripe charge?

Stripe typically charges 2.9% + 30¢ per successful card charge. Rates may vary by country and payment method. Check stripe.com/pricing for details.

When do I receive payouts?

Stripe typically deposits funds to your bank account within 2-7 business days. You can configure your payout schedule in your Stripe dashboard.

Can I disconnect Stripe later?

Yes, you can disconnect Stripe at any time from Settings. However, existing invoices sent with Stripe links will no longer be payable online.

What happens to my Stripe data?

All payment data lives in your Stripe account. Facility Pro only stores references to payments. You can always access full payment details in your Stripe dashboard.
