Scheduling Your First Class

Learn how to create a class type and schedule your first class session.

Prerequisites

  • Your Facility Pro account is set up
  • You have at least one client added (optional but helpful for testing)
  • Know the class details: type, duration, capacity, and instructor

Create a Class Type First

Before scheduling individual class sessions, you need to create a class type template. This defines the class name, default duration, and capacity.

  1. Navigate to Settings from the sidebar
  2. Click on Booking Types
  3. Click Add Booking Type
  4. Select Class as the category
  5. Enter the class name (e.g., "Yoga", "Spinning", "CrossFit")
  6. Set the default duration (e.g., 60 minutes)
  7. Set the maximum capacity (e.g., 20 participants)
  8. Click Save
Tip: You can create multiple class types (Yoga, Pilates, Spin, etc.) and reuse them for scheduling recurring sessions.

Navigate to the Calendar

Once your class type is created, go to the Calendar section from the sidebar to schedule your first class session.

Note: The calendar view shows all your scheduled classes, appointments, and bookings in one place.

Add a New Class to the Calendar

Click on the desired date and time slot in the calendar to create a new class session.

Fill in the Class Details:

  • Class Type: Select the class type you created earlier
  • Date & Time: Confirm the start date and time
  • Duration: Uses default from class type (can override)
  • Instructor: Select the staff member teaching
  • Capacity: Maximum number of participants (from class type)
  • Location/Room: Specify where the class takes place
Recurring Classes: You can set up recurring schedules (daily, weekly, monthly) to automatically create multiple class sessions at once.

Set Capacity and Instructor

Ensure the capacity is set correctly and assign an instructor if you have staff members added to your system.

Capacity Management: The system will automatically prevent overbooking once the class reaches capacity. Clients will see "Full" instead of the booking button.

Save and Publish the Class

Click Save or Create Class to add it to the calendar. The class will immediately be visible to clients for booking.

Success: Your class is now live! Clients can see it in their app and book their spot.

Test Enrollment (Optional)

To verify everything works, try enrolling a client in the class:

  1. Click on the class in the calendar
  2. Click Add Participant or Enroll Client
  3. Select a client from the list
  4. Confirm the enrollment
Client View: Clients can also self-enroll through their mobile app or client portal if you've enabled that feature.
